Purchase Ledger Supervisor

The Company

V&A Enterprises Limited is the business face of the V&A. Our activities are many and various, from publishing, product design and licensing to digital development and film. All our profits are returned to V&A Museum helping to maintain its position as the world’s leading museum of art and design, and funding exhibitions, research and collecting for the future. The company has a turnover of £12m and employs 160 staff.

The Role

We are looking to recruit a Purchase Ledger Supervisor with solid previous experience to join our Accounts team. Their remit would be to manage the workflow and all aspects of the Purchase ledger function of the V&A Enterprises Limited (VAE) and to correctly account for and monitor the resulting expenditure transactions. In addition the role would supervise the payments process and ensure that all suppliers of the VAE are paid according to their agreed terms of business.

This is a hands-on role which requires a reliable, conscientious individual who is keen to make his/her mark. There will be a strong focus on identifying opportunities for making process improvements and enhancing service provision. The post will report to the FC and will be responsible for the supervision of 2 staff.

The main responsibility will include:

  • Maintaining suppliers accounts in Purchase Ledger.
  • Advising VAE departments on terms offered to suppliers, VAT, duties, most efficient and cost effective method of payments.
  • Regular communication with VAE departments with regard to queries, overdue payments, missing invoices.
  • Maintaining a good working relationship with suppliers achieved through a regular contact via email or telephone.
  • Motivating Purchase Ledger team through effective feedback on performance, coaching and the provision of appropriate development.
  • To proactively look for and make systems/process/service improvements.
  • To support wider continuous improvement, by challenging the status quo and promoting ideas in a constructive way.
  • Reviewing of purchase ledger reports on Sage as required to ensure timely payments to suppliers.
  • Reconciling monthly suppliers statements and following up discrepancies.
  • Preparing and processing payment runs (cheques, BankLine and BACS).
  • Supervision of two Accounts Clerks to ensure timely payments to suppliers and a smooth closure of monthly accounting period.

Required Skills:

  • AAT qualified/part-qualified with purchase ledger experience, the most recent of which will be at Supervisor/Team Leader level.
  • Knowledge of Sage line 100 Purchase Ledger module including reporting and advanced Excel skills.
  • Able to give clear examples of improvements they have made from inception to implementation and end result.
  • Commercially astute, combining customer focus with sound judgment.
  • Proven people management skills.
  • Strong communication skills (both written and verbal), able to tailor approach to fit the specific requirements of our different clients (both internal and external).
  • Ability to work quickly and accurately to meet tight deadlines.
  • Ability to work on their own initiative and take responsibility for their own work and the team.
  • Excellent attention to detail.
