We work primarily with the enterprise retail market, but also have clients in: health care, local government, hospitality and entertainment/leisure. We work with significant global brands, including O2, Telefonica global and House of Fraser.

We are hiring someone to take care of our Finance Administration and Office Management. 

You will work independently and with our Finance Director and CEO to achieve your tasks, which will include: 

Book Keeping:

+ Reconcile and balance the company bank accounts
+ Manage and ensure effective and timely: customer invoicing, customer payment of invoices, supplier payments, statutory filing requirements, R&D claims, employee experience claims, bank deposits
+ Manage and report on: sales & spend figures, cashflow, management accounts, bank statements, budget and variance from the budget, client project time-tracking 
+ Effectively manage and administrate: recording receipts, accounting filing system, company compliance to finance and expense policies
+ Complete VAT returns, submit to HMRC and manage payment and invoice of VAT
+ Process company Payroll through the company accountants (calculating any bonus and commissions due)
+ Liaise with the company accountants as necessary
+ Manage Enterprise Customer payment supplier platforms to submit invoices 
+ Regularly prepare and issue reports on finances, management accounts and key business metrics that demonstrate how the company and sales team are performing against target
+ Set up and manage automated billing processes and tools 
+ Provide reporting, clerical and administrative support to management as requested
+ Support the CEO in shareholder reporting and administration
+ Manage the CRM/Pipeline tool and reporting key data on upcoming sales, invoiced sales and performance 

Office Management:

+ Management of company: Legal documents, suppliers, board meetings, CapTable, tangible assets and devices, Certificates and documentation, Office Culture and employee activities and events, Post, Office environment 
+ Development and management of company: HR and office processes, Filing systems, Policies, administrative systems, software tools 
+ Insurance policies, supplier platforms (including the Government GCloud applications)
+ Overseeing the recruitment and on-boarding of new staff
+ Manage and drive company compliance towards the company policies, handbooks and compliance initiatives
+ Managing employee files and recording absences and holiday period
+ Attending management meetings to take minutes and drive actions
+ Answering the phone 

Required Experience: 

+ Minimum AAT level training
+ Experience in Bookkeeping software (we use Xero online accounting software)
+ Experience in Microsoft Excel & Word

+ A high-achieving career starter looking to kick start their career in finance or operations, preferably trained or training for their Chartered Accountancy Exams
+ An individual with a couple of years experience in a similar role
