Grants and Projects Finance Officer Role Description
Purpose of the role
Reporting to the Finance Manager, the Grants and Finance Officer is responsible for all the financial information and reporting in the cycle of grant management. Stonewall are increasingly working with trusts, foundations, and statutory donors and thus it is essential that compliance is met, costs are recorded accurately and reporting deadlines met. In addition, the role will be responsible for budgeting of a project and continual monitoring of expenditure whilst in chain. Partnering with the Grants and Finance teams, as well as liaising with programme stakeholders within the organisation means exceptional interpersonal skills are key.
From time to time the position will assist and lead in projects to provide financial information and insight to the organisation. This is likely to include financial system project management. The role will also undertake financial duties as required such as reconciliations.
Key responsibilities and duties
*Support preparation of proposal budgets for all grant applications
*Pro-actively ensure all grant expenditure is accurately coded and recorded and journal support cost allocations
*Monitor all active grants expenditure against budget and perform variance analysis at least quarterly
*Prepare all financial reports to donors on time and in accordance with their requirements
*Attend 6 weekly meetings with all active grant project managers and monthly meetings with the Grants Team.
*Ensure records are maintained to ensure no cost or salary is double funded
*Produce and reconcile the movement in grant funding at least annually
*Assist in organisational budget and forecast setting
*Keep logs of all pro bono and gift in kind funding
*At year end provide analysis and information on restricted, unrestricted and reserve movements
*Complete income reconciliations to ensure funds received are logged and received
*Assist and lead on projects as defined by the Director of Finance and Operations
*Assist the Finance team with their duties as required
*Attend Stonewall's major fund raising events as required
General responsibilities and duties
1.Conduct the duties of the job description in accordance with the operational policies of Stonewall, including but not limited to the diversity policy and code of conduct
2.Maintain good working relations with Trustees, staff, volunteers and other stakeholders
3.Contribute to the general administration and delivery of all Stonewall's programmes, events and overall objectives
4.Undertake any other reasonable duties as may be required
