Main duties and responsibilities:
1. Patient Experience
The Senior Practice Manager will manage quality standards for the clinic. This will include but in not restricted to:
*Clearly understanding the Patient Journey and the Patient Experience
*Ensuring the clinic is focused on delivering an excellent Patient Outcome and in doing so creating a wonderful Patient Experience
*Developing a customer centric approach to both patients and clinicians alike
*The smooth running of the reception / clinical services team
2. Managing and influencing the Drivers of Performance
*Set clinic standards, agree goals, and set expectations.
*Manage the quality of work produced.
*Measure and monitor performance on a regular basis.
*Develop your team through coaching, mentoring and training.
*Select the right tools, techniques and resources to achieve the above.
3. Regulatory Compliance:
The Senior Practice Manager will be responsible for the following compliance, this will include but is not restricted to:
*Uphold the role of Responsible Manager, with the CQC
*Have a thorough understanding of all CQC regulations and company policies and procedures, which uphold these
*Responsible for education of clinic staff in the knowledge and adherence of the policies
*Regular monitoring of regulatory compliance which includes, but is not limited to:
oGeneral Complaints (CQC)
oGeneral Incidents (CQC)
oGeneral Compliments (CQC)
oCQC audits
*Upholding and renewing clinic licensing requirements which includes, but is not limited to:
oSpecial Treatment Licenses for clinic and staff
oTV Licensing
oPAT Testing
4. Operations
The Pure Sports Medicine brand is expressed and is reflected in its facilities which are integral in supporting the patient journey and our ability to provide a wonderful patient experience.
The Senior Practice Manager will be responsible for ensuring the clinic facilities are managed to the required standards at all times, to promote and uphold the 'Pure' brand.
Management of the Clinic Facilities will include but is not restricted to:
*The regular maintenance of equipment within the clinic
*The overseeing of decoration works
*Ensure the cleaning standards are upheld
*Ensure remedial work is undertaken immediately to fix any broken / damaged elements within the facility
*Managing security of the building
*Responsible for health and safety requirements
*Full knowledge of insurance providers, billable items and recognition of Clinicians
*Responsible for educating staff and patients on insurance matters
*Running and analysing data to ensure affective clinic managements:
*Provide backup cover for reception and clinical services, when required
*Advance room planning for the clinic
*TM2 Alternations and updates in association with the Clinical Manager
5 Leadership & Management
The Senior Practice Manager will take a key Leadership and Management role within the business, providing direction and support to the Reception and Clinical Services staff within the clinic. The expectations around Leadership and Management will include, but are not restricted to:
*Promoting and upholding the companies values
*Provide inspiration and motivation to reception and clinical services staff - 'Your Team'
*Establish a strong working relationship with all clinic staff, clinical and admin alike
*Work with the Clinical Manager to resolve issues at a clinic level
*Manage the duty rota, ensuring appropriate staffing levels at all times
*Working with other Practice Managers to provide emergency staff cover.
*Ensure the companies performance management framework is implemented within your team
*Manage the professional development of your team, including training and development through internal CPD's
*Manage the disciplinary and grievance procedures for the clinic administrative team
*Assist with the recruitment requirements for your team
*Manage the induction programme for all clinic staff in line with the Clinical Manager
*Manage annual leave, sick leave & time of in lieu for your team
*Manage staff rewards and engagement programmes for all clinic staff, in conjunction with the Clinical Manager
6. Finance
*The Senior Practice Manager is responsible for the overall budget and stock management of their clinic. This includes but is not limited to: Provision of monthly KPI reporting
*Responsible for working with finance to ensure that all billing issues are resolved and action plans implemented to improve
*Management of purchase orders, as per finance team instructions
*Ensure correct invoicing of all billable items and debt management
*Manage budget control in conjunction with the Clinical Manager
*Manage daily banking
*Authorising patient discounts and refunds, in conjunction with Clinical Manager
7. Marketing, Print and Production
This role will involve the organisation of marketing initiatives in conjunction with the Marketing Manager and Clinical Manager. This will include but is not restricted to:
*Updating chalk boards
*Communicating Promotions
*Ordering printed materials-business cards, headed paper
*Clinic newsletter
*External marketing opportunities, classes/courses/presentations
8. Business Development
This role will involve the organisation of business development events within the clinic.
This will include but is not restricted to:
Meet objectives by building added value relationships with key business contacts, working in partnership to:
*Promote the full range of services available to existing and potential clients
*Bring to the attention of partners opportunities to promote additional services to existing and potential clients
*Host events that showcase our unique offering
*Providing data on where patients are coming from
