Role summary

BAE Systems Applied Intelligence has a global Payroll team (currently seven people) that work from our Guildford head office. The team run an in-house UK payroll with 2,500+ employees and are also responsible for running approx. 28 international payrolls that are processed via payroll bureaus. Applied Intelligence is a dynamic and fast growing business so it is expected that the number of employees and payrolls will change over the coming years.

This is very much a hands-on role responsible for business as usual Payroll delivery across all of our payrolls; therefore we are looking for the successful candidate to have a proven understanding and delivery of the end-to-end UK payroll process. You’ll also have knowledge and hands-on experience of delivering two international payrolls at an advanced level, with experience of more than two international payrolls being highly advantageous.

What you’ll be doing:

  • Manage the Payroll team day to day including their personal development and training.
  • Manage the relationship with the payroll bureaus, and ensure all payroll deadlines are met and quality levels are maintained.
  • Ensure all payrolls are funded and paid on time, and ensure pensions, PAYE/NI, GAYE, SIP etc. are paid on time.
  • Ensure all payroll journals are posted in line with month end timetable.
  • Responsible for delivering and approving all global payroll year-ends.
  • Responsible for filing all payrolls accurately and on time, e.g. P11D.
  • Manage ex-pat payrolls and employee assignments, working closely with our Global Mobility team.
  • Work alongside the Payroll Transformation team to implement all agreed payroll improvements and required changes into ‘business as usual’.
  • Ensure that payroll processes, controls and appropriate approvals are in place.
  • Support control reviews, internal audits and external audits as required.
  • Manage relationships with key HR points of contact across BAE Systems Applied Intelligence.
  • Work alongside HR to implement an effective query management process, taking the lead within the Payroll team ensuring payroll issues get resolved on a timely basis, including the implementation and reporting of appropriate KPI’s

What we’re looking for:

Essential:

  • Demonstrable experience of managing a Payroll team.
  • Understanding and delivery of an end-to-end process for UK and minimum of two international payrolls.
  • Proven ability to manually calculate Gross to Net position for UK and international payrolls.
  • Understanding of local in-country legislation to enable confident delivery of concise instruction to providers.
  • The ability to improve processes and procedures and solve problems.
  • Experience of working in a fast-paced, growing environment.
  • The ability to be pro-active, flexible and adaptable.
  • Excellent interpersonal skills and the ability to work effectively with stakeholders.

Desirable:

  • Experience of delivering international payrolls and working across different time zones.
  • Ability to understand and apply local in-country legislation.
  • Previous experience using SAP.
  • Excellent Excel skills.
  • Experience of working with colleagues and suppliers  where English may not be their first language.
