THE COMPANY:
A large manufacturing firm based in Sherburn in Elmet they design, manufacture and sell advanced single deck and double deck buses for a global market place
THE JOB:
To be the primary point of contact with line managers, and to provide payment instruction to the external payroll provider to ensure that employees' salaries are calculated accurately to include the following;
- Rates of pay (daily, annual)
- Hours worked and calculation of overtime
- Time and attendance (i. SSP, CSP, unpaid leave etc)
- Additional payments; (i. 1st Aid, call out.)
- Benefits (i. car allowance, living allowances, bonus) etc
- Expenses (i. mileage, subsistence, travel)
- Pensions and auto enrolment
To be the central administrator for the PD system (CascadeHR), and to be primary contact for specific areas (Sherburn Supporting Functions), and to provide support to line managers assigned to administer their own areas.
To support the PDA with the upkeep of the PD system and generation of reports.
DUTIES AND RESPONSIBILITIES
- Input data into the Time and Attendance (Datalinx), and PD System (Cascade HR) to ensure that employee records are correctly administrated for their assigned areas, and also support line / Service Centre Managers
- Check people's hours of work (patterns of working) and absences (Holidays / sickness / unauthorised leave), over time, shift premiums and other allowances
- Administer individual expenses claim forms for payment through to payroll
- Support in the administration of a monthly payroll report, which will be transferred to a third party for processing and payment (Armstrong Watson)
- Ensure that personal data held on the PD System and an individual's personnel file is accurate and aligned to each other, and that the relevant documentation is present on their files (scanned / paper)
- Support the PD team with basic administration duties (e. issue of payslips, letters, emails)
- Generate reports from the PD system or payroll reports - consider the data and present findings.
THE PERSON:
KEY SKILLS
- Customer service skills - ability to effectively communicate and work with internal and external stakeholders. To be considered in their approach and ability to problem solve. (incl: Employees, managers across all areas of seniority; Government Bodies (HMRC) and legal (accountants/ auditors).
- Understand what constitutes basic pay for different employees, calculating overtime payments etc, and the statutory and voluntary deductions
- Prepare and raise a bank transaction for the payment of payroll
- Setting up new employees, internal transfers and leavers
- Preparing monthly payment reports to agreed timescales
- Understand the principles of the PAYE system, employee taxation and national insurance deductions. Issuing tax forms (P45s and P60s for example)
- Understand the HMRC reporting and internal audit requirements
- Basic understanding of UK Regulations: Pensions administration; Working Time Directive; Holiday Pay difference; Statutory Payments (SSP/ SML etc)
- Understanding Optare policies and procedures and basic UK legalities
- Basic principles of data protection for the use and storage of personal data
MINIMUM QUALIFICATIONS & REQUIREMENTS
- Microsoft Office skills: (outlook) emailing, (excel) spread sheets, (word) document writing
- Good maths and English (GCSE (A-C) or equivalent
- Experience in payroll is not essential as training will be provided (e. Certificate in Payroll)
- Confidence in working with numbers and problem solving
- Customer service orientation
- Good spoken and written communication
- Good organisational and time management skills
