Our client is a Kent based Multi Academy trust with schools who are looking to appoint a Finance Officer to work at one of their Grammar Schools. The role will start out on an interim basis with the view to going permanent. The contract length will be a minimum of 12 months, with a possible extension in 2020.
The school have recently rolled out PS Financials, so they are looking to appoint someone with a good knowledge of this system. This is a very busy and fast paced environment.
Sales Ledger
Raise sales ledger invoices from source documentation (i.e. lettings)
Send out monthly statements
Chase outstanding payments from debtors
Record income
Prepare sales ledger banking
Sales Ledger reconciliation
Report bad debts and possible write offs to Finance Manager (in these unforeseen circumstances, money should be written off in accordance with the Financial Policy and Procedures)
Process refunds for deposits for lettings.
Purchase Ledger
Prepare and raise purchase orders and email to staff or suppliers
Process invoices
Review commitments at month-end
Supplier statement reconciliations
Dealing with supplier queries
Pay suppliers within the credit terms
General Ledger
process and reconcile bank accounts on a monthly basis
reconcile petty cash accounts on a monthly basis
process staff expenses on a weekly basis
create BACS batch for Finance Manager review
Monthly and year-end balance sheet reconciliations
School Fund/Voluntary Fund
process, manage and record general income and expenditure in the school voluntary fund
process manage and record income for school journeys, educational visits and activities; including answering all queries
chase outstanding payments on school voluntary
prepare, produce bank reconciliation for the school voluntary fund on a monthly basis
Credit Card
ensure credit card form is completed properly for credit card purchase
ensure and check that all appropriate signatories have signed the credit card form
ensure credit cards are always stored in the safe
post all expenditure from credit card statement to the general ledger
prepared monthly credit card reconciliation
Trips
Set up trips on sQUID
Email reports to Trip Organiser
Make payments to suppliers for the trip organized
Post payments and receipts for trips on the system
Reconcile trip account
General
Post all entries from the bank statement to the general ledger
Post month end payroll journals and perform month end payroll reconciliation
Assist Finance Manager and Finance Director in month-end and year end reconciliation and processing.
Able to liaise with internal and external auditors and provide them with accurate information and supporting documentation
Able to cover in the absence of Finance Assistant and Finance Manager
Ensure the efficient and effective running of the department
At times count cash and deposit to the local bank branch
To carry out any other duties as may reasonably be requested by Finance Manager
Education & Experience
Minimum A Level or above
Minimum of fully AAT Qualified or part qualified CCAB equivalent.
3 years post qualification experience
Strong double entry book-keeping
3-5 years in secondary school, academy or Multi academy Trust
Experience in undertaking sales, purchase and general ledger
Experience of income and balance sheet reconciliations
Experience of processing bank reconciliation and payment runs
An excellent understanding of accounting processes and procedures
