Operation Manager - Real Estate. Our Client is a leading boutique Real Estate investment bank managing highly complex transactions, and competing with large market players. The opportunity has arisen to join their entrepreneurial team in providing clients with unequalled insight into the global Real Estate market.

The Role will be reporting directly to, and supporting the CEO. The duties will include, but not be limited to, the following:

  • Offering strategic advice to partners regarding operational/resource matters.
  • Supporting the finance department in creating budgets and forecasts.
  • Liaising with bank account managers, and setting up/ authorising payments, purchases and invoices.
  • Ensuring that the expenses of creditors and debtors are managed appropriately.
  • Liaising with accountants on a regular basis providing information regarding accrued income, expenses, payroll, and annual audit and HMRC payments.
  • Handling any filings at Companies House or HMRC related filing, ensuring statutory books remain up-to-date.
  • Handling recruitment, staff appraisals/disciplinarians, benefits, holiday/sickness schedule and resourcing/staffing management.
  • Managing company documents, such as offer letters, staff handbooks and health and safety paperwork.
  • Managing all insurance policies alongside the firm's insurance brokers.
  • Liaising with outsourced support providers regarding, new user set-up, and disaster recovery and data backups.
  • Communicating with an outsourced compliance company, managing FCA returns, KYC/AML, ensuring all documentation and procedures are up-to-date, disaster recovery/business continuity, Data protection / GDPR.
  • Managing and monitoring health and safety compliance, including fire warden and fixed-wire testing.
  • Managing landlord/ third party service providers regarding matters such as cleaning, shredding, stationary, decorating.
  • Enhancing website content and making changes/enhancements where necessary.
  • Maintaining and managing social media, as well as creating and updating adverts.
  • Monitoring and recording the distribution/use of direct lines, mobiles and conferencing facilities.
  • Ensuring that the firm is subscribed to the relevant industry magazines/newspapers and that all industry/professional memberships are up to date.

The Person to apply will be a commercial, self-motivated Operations Manager with a minimum of 3 years' experience in a similar role. The ideally person will come from a finance background and have experience of working with the financial services sector (ideally a boutique investment bank). Strong work ethic and commitment is needed as part of this fast-paced role. You will also be highly organised, have good attention to detail and be able to demonstrate a comprehensive skill base, common sense and be 'hands on' at detail level with the ability to multi-task and make commercial decisions and judgements in a fast-paced and energetic environment. It will be highly advantageous if you have current or recent experience of working with the real estate sector (funds / investments), although this is not essential.
