£21,000 – £24,000 (pro-rata) dependent on experience

We have a friendly small team at our busy, smart office in Kingston upon Thames as well as a Coffee Lab and office in Glasgow.

In addition there are International and European offices so an interest in geography and languages would be a bonus. Liking coffee is not essential, but it might add to the enjoyment of the role!

The Accounts & Office Administrator Role:

This is a varied role which primarily supports the Company’s finance & accounts specialist and financial accountant with the finance operation for the whole team with day to day SAP input and accounts functions.

This role is based at the reception hub of the business and includes meeting and greeting visitors as well as assisting with the day to day running of the office and supporting the Managing Director with arrangements.

The role has two distinct parts, fielding phone calls, customer enquiries, greeting visitors AND finding out information and solving problems for team members from worldwide offices so that financial data can be actively and accurately input to SAP to meet daily financial report deadlines.

Accounts & Office Administrator Duties:

+ Support the Company’s Finance function with accounts information and inputting data to SAP.
+ Supporting the preparation of monthly forecasts and reports, credit control / chasing late payers and general accounts admin. Online banking, foreign currency contracts, payments to suppliers, chasing overdue accounts, maintaining the report of the company’s cash flow position up to date at all times. Applying for Import Loans with the Bank, cancelling Loans, and some oversight of cash management on a day to day basis
+ Meeting and greeting visitors
+ Developing and implementing new administrative systems to improve efficiency
+ Assisting with MD and staff travel arrangements and visa requirements as necessary
+ Attendance at Trade Shows and frequent client events held at the main office / coffee lab. Some travel to support Trade shows would be expected

About You:

+ Previous office accounts/administration experience
+ Experience with an accounting system – especially SAP
+ Good intermediate level Microsoft Office skills
+ Ability to work and stay motivated on own initiative and within teams as appropriate
+ Excellent verbal and written business English communication and people skills including telephone manner and personal presentation
+ Proven attention to detail and accuracy with the ability to work to tight deadlines. The daily cash reports are time sensitive and decisions have to be made by the Managing Director based on the information in each daily report.
+ A good understanding of commercial awareness
