Job Description

The Project Administrator position is responsible for the monitoring, analysis and reporting of the Capital Project Time processes.  The position ensures an efficient and effective reporting and training process is in place, recommends and implements solutions as needed and maintains compliance with Finance guidelines and initiatives.  The position will also provide administrative activities for the department as needed.

Job Responsibilities:

  • Work with cross-functional teams to support the reporting of Capital Project Time Keeping processes in support of business goals.

  • Create and monitor a system of controls, procedures and reports to support the reporting and analysis of the capital project time data.

  • Support the plant sites with entry and approval of project time charges and work with sites when entries are missing or incorrect.

  • Maintain the work instructions and conduct training for the entry of time into the SAP system as needed.

  • Collaborate across teams (i.e. project managers, controllers and service center) to resolve issues and respond to queries related to various reporting topics.

  • Conduct analyses related to time keeping as requested by management.

  • Properly maintain time keeping reporting documentation to meet SOX requirements and assist the auditors in their Capital Project time inquiries.

  • Represent the company during any audits by a government that involves Capital Project time reporting.

  • Work with cross-functional teams to support, the onboarding of seconded engineering contractors. 

  • Coordinate with the plant sites for the issuing of the Statement of Work and Purchase Order creation for seconded contractors, including the training of time entry with the contractors.

  • Coordinate with the seconded contracting company as questions or billing issues arise.

  • Support the Engineering Finance monthly cost reviews, ensuring the timeliness of project time transactions.

  • Support the department administratively as requested by the management team.

  • Other special projects as requested

Job Requirements

  • Bachelor's degree in finance, accounting or related field requested.

  • 3+ years of financial experience is nice to have.

  • Proficient in Microsoft Office software; Microsoft Excel Pivot tables, Formula writing and Data, SAP Experience.

  • Condition coding experience is required; SharePoint Experience a plus.

  • Excellent interpersonal, written, oral and presentation communication skills

  • High attention to detail

  • Ability to participate in cross-functional, teamwork oriented environment

  • Ability to work independently and create quality results

  • Affinity towards the use of technology as a competitive advantage

  • Ability to manage large amounts of information efficiently and to formulate such into analyses, trends, and insights
